Beacon Grove Bookkeeping respects your privacy. This policy explains the information we may collect when you visit our website, contact us, connect financial accounts, upload records, or work with us for bookkeeping services.
Information We Collect
We may collect contact information, business information, messages you send us, website usage data, and information needed to provide bookkeeping services. If you become a client, we may also receive receipts, invoices, bank and credit card transaction data, payroll summaries, merchant processor reports, accounting file access, tax-supporting documents, and related business records you choose to share.
Bank Connections and Plaid
When supported, clients may connect existing bank or credit card accounts through our connectivity partner Plaid. Plaid may collect and process login, account, balance, transaction, and institution information according to its own privacy terms. If a bank is not supported, clients may manually upload transaction records instead.
How We Use Information
We use information to respond to inquiries, onboard clients, categorize transactions, reconcile accounts, manage receipts, prepare monthly reports, coordinate with client-approved advisors, improve our workflow, maintain business records, prevent misuse, and meet legal, administrative, or contractual obligations.
Sharing Information
We may use trusted service providers for hosting, email, file storage, bank connectivity, payment processing, analytics, secure document handling, and bookkeeping workflows. We may share information with those providers only as needed to support our services. We may also share information with tax preparers, payroll providers, attorneys, lenders, or other advisors when you authorize us to do so, or when disclosure is required by law.
Data Security
We use reasonable administrative, technical, and organizational safeguards for business financial information, including access controls, vendor review, secure file handling, and limited access based on service need. Because bookkeeping can involve sensitive financial and tax-supporting records, we expect clients to avoid sending account credentials through ordinary email and to use approved upload or connection methods when available. No website, software platform, or transmission method can be guaranteed to be fully secure.
Record Retention
We retain client records for as long as needed to provide services, resolve questions, maintain documentation, comply with legal or accounting obligations, and support ordinary business administration. Clients remain responsible for maintaining their own official records and backup copies.
Your Choices
You may request that we update contact information, disconnect account access, or stop using information for a service that has ended, subject to recordkeeping, legal, security, and legitimate business requirements.
Not for Children
Our website and bookkeeping services are intended for business owners and are not directed to children under 13.
Policy Updates
We may update this policy as our services, vendors, or legal requirements change. The updated version will be posted with a new effective date.
